  • Contact details: your email address and phone number (including WhatsApp).
  • Delivery details: your delivery address and location in Ghana.

  • Technical data: cookies and usage data described in our Cookie Policy, such as device type and pages visited.

3. How we use your information

We use your personal information to:

  • Prepare quotes and calculate estimated shipping costs and delivery times to Ghana.
  • Source, inspect and ship your products from China and deliver them to your address.
  • Communicate with you about your quote, order status, payments and delivery updates.
  • Process payments securely through Paystack and issue invoices and receipts.
  • Manage group orders, including linking multiple contributors to a single shared order and tracking.
  • Administer the TRADVIA Loyalty Points system, including awarding, tracking and redeeming points.
  • Verify your identity, prevent fraud, and comply with our legal and regulatory obligations.

4. Legal basis for processing

We process your personal data on the following lawful grounds:

  • Performance of a contract: to deliver the sourcing, shipping and delivery services you request.
  • Legal obligation: to keep records for accounting, tax and regulatory purposes.
  • Legitimate interest: to operate our business securely, prevent fraud and improve our services.
  • Consent: for non-essential cookies and optional marketing communications, which you can withdraw at any time.

5. Sharing your information

We share your data only where necessary to deliver our services:

  • Payment processor (Paystack): to securely process your online payments. Paystack handles your card data under its own security standards; we do not receive or store your full card details.
  • Suppliers and logistics partners: only the details needed to source, inspect, package and ship your order (for example, product specifications and a delivery reference).
  • Group order members: within a group order, each member can see their own items and contribution. We do not expose members' private contact details to one another beyond what is necessary to manage the shared order.
  • Service providers: trusted vendors that host our website and provide email delivery, under written obligations to protect your data.
  • Legal authorities: where required by law, court order or to protect our rights and the safety of others.

We never sell your personal data to third parties.

6. Group orders

Our Group Order feature lets multiple users contribute to a single order. When you join or create a group order, we use your name, contact and item details to coordinate that shared order. Each member's items are grouped and tracked together, and only the information necessary to fulfil and track the group order is shared among members as described above.

7. Loyalty points

When you earn or redeem TRADVIA Loyalty Points, we record your points balance, tier and transaction history linked to your account. This information is used solely to administer the loyalty programme and is not shared with third parties for marketing.

8. Data security

We apply reasonable technical and organisational measures to protect your data, including access controls, encryption in transit, and secure storage. Payment information is handled by Paystack under its security certification. However, no method of transmission over the internet is completely secure, and we cannot guarantee absolute security.

9. Data retention

We keep your personal data only for as long as necessary to provide our services, fulfil orders, maintain loyalty records, and meet legal and accounting requirements. Quote and order records are retained to support after-sales service, refunds and dispute resolution.

  • Access the personal data we hold about you.
  • Request correction of inaccurate or incomplete data.

  • Object to or restrict certain processing of your data.
  • Withdraw consent for optional processing at any time.

To exercise any of these rights, email us at tradvia.gh@gmail.com.

11. International transfers

Because we source from China and use global service providers, your data may be processed outside Ghana. Where this happens, we take steps to ensure your data is protected to a standard comparable to Ghanaian law, including through contractual safeguards with our partners.

12. Children's privacy

Our services are intended for businesses and individuals of legal contracting age. We do not knowingly collect personal data from minors. If you believe a child has provided us with data, please contact us and we will delete it.
